Your privacy is important to us. We provide this notice to explain our information practices and the choices you can make about the way your information is collected and used.

Compliance with the law

The Trustees of Northborough Community Association comply with the General Data Protection Regulation (GDPR) introduced by the Office of the Information Commissioner in May 2018. The lawful basis on which we collect and process personal information (i.e. for a private individual) is limited to the following:

Collection of Personal Information from the Village Hall website. When visiting the Village Hall website, the IP address of the device used to access the site, along with the dates and times of access, may be logged by our internet service provider. This information is used by Northborough Community Association (who own the web site domain which is hosted by Ionos) to analyse usage trends. Recorded IP addresses are not linked to personally identifiable information.

Collection and use of Personal Information for Village Hall Bookings

When a booking is made or we collect the following personal information from the hirer to enter into a hire contract:

  1. First name and surname of person responsible for the hire (the hirer)
  2. Address of the hirer
  3. Email address of the hirer
  4. Mobile number of the hirer and land line number where available

All personal information is stored in emails  held by the booking officer and treasurer. The data is used to prepare the booking email and invoices sent to the hirer.

The name of the person responsible for the booking is entered into the online calendar. The calendar is hosted by Keep & Share and is visible to the public on the Village Hall web site. Only the name of the activity is shown and no other personal information relating to the hirer is stored with the calendar entry.
